Use A Form To Collect Addresses
Gathering addresses from family and friends is easy with Google Forms!
Simply share your form link with guests via text, WhatsApp, or email. Once they fill it out, their information is automatically added to a linked spreadsheet. From there, you can simply copy and paste the guest info into your master guest list.
We’ve created a form template you can copy and start using right away! Follow the steps outlined below:
1. Sign in to your Gmail account
If you don’t have a Gmail account, you can create one for free here.
2. Open the Address Collection Form Template
Click on the following link to access the template we’ve created for you (it will open in a new browser tab): Address Collection Form Template
3. Save the Form For Your Use
a) Click the three dots (more options) icon at the top right of your browser window and select “Make a copy.”
b) Enter a name for your form, like “[Your Last Name] Wedding List,” then click “Copy."
c) Your copied form will open in a new browser tab.
4. Link the Form to a Spreadsheet
a) In the form editor, you’ll see three tabs at the top: Questions, Responses, and Settings.
b) Go to the Responses tab, then click “Link to Sheets. (blue text, top right)”
c) In the pop-up window, click “Create.” This will generate a new Google Sheets document where all your responses will be stored.
d) Copy the URL of this spreadsheet and save it somewhere convenient so you can easily access it later.
5. Get a sharable link to your form
a) Return to the form tab and click “Send” in the top right corner.
b) In the pop-up, click the link icon 🔗 tab, and then Click “Shorten URL” to generate a shorter link. Copy this link and save for easy reference.
6. Share the Form with Your Guests
Send the form link to your guests via email, text, or WhatsApp!
7. Last step! Add the collected names/addresses to your Master Guest List
a) As guests respond, their addresses are automatically added to the spreadsheet linked to your form. You saved the URL to this spreadsheet in step 4.
b) Periodically check the spreadsheet for new addresses, then copy the information and paste it into your master guest list spreadsheet.
