How to estimate how many invitations you'll need:
Digital Guest Lists serve as the data source for your invitation delivery address printing, and their counts will help inform the quantity of invitations you’ll need to order. You’ll likely send your order to print before the guest lists are finalized. Do your best to estimate an accurate mailing count and make sure to order plenty of extras!
Step 1 - Ask "the other side" how many they’d like to order. If they’ve recently made a simcha, such as a wedding or bar mitzvah, they should be able to reference their invitation mailing list and provide a count quickly.
Step 2 - For your count, the same applies. Do you already have a master guest/mailing list for simchas? If yes, do a quick review and update with any new guests you'd like to invite to this simcha.
If this is your first simcha, you’ll need to begin creating your guest list immediately. We’ve put together helpful guides to walk you through the process (see bottom of page).
Step 3 - Ask the chosson and kallah to provide an estimate of the number of invitations they want to mail to their personal guests. Their lists will likely include friends from camp, high school, co-workers, teachers, rebbeim etc. We’ve found that the typical kallah’s list count ranges from 150-200 invites. Some prefer to invite via WhatsApp, text, or email by sharing a digital version of their invitation — we’ll create that for you!
Important Tips & Reminders:
No. 1 - Order Extras! Invitations can get lost in the mail or sent to the wrong address, or you may decide to invite more guests at the last minute, so having extra invitations is a smart precaution. Ordering plenty of extras now is much cheaper than a second print run later, and it helps you avoid the delays that come with reprinting. It's far better to have extra invitations left over, than to worry about running short or deciding who to cut from the guest list.
We strongly recommend adding at least 50 extra invitations to your total count to ensure you have enough.
No. 2 - Number of Guests vs. Invitations Mailed
The number of invitations you need is NOT the same as the number of guests you’re inviting. Send one invitation per family at the same address. However, if inviting older children it is customary to send them their own invitation.
When mailing invitations, you'll likely include many people who won’t attend in person but whom you still want to include in your simcha, such as friends and relatives living far away. This means your invitation list will often be significantly larger than the headcount you’ll give to the venue or caterer.
No. 3 - Invites for Grandparents
Have you considered including invitations for guests the grandparents may wish to invite?
No. 4 - Keepsakes & Photos
Order a few extra invitations to keep as mementos — grandparents might appreciate having one too! Plus, your wedding photographer will likely want to capture some styled shots of the invitation.
No. 5 - Order Extras!
Yes! We've mentioned this before, but we cannot stress how important it is to order more than you think you'll need. We’ve had clients ignore this advice and later spend thousands to rush-order an additional 100 invitations they hadn’t planned for. Adding extras now will cost much less than the alternative!
